About Candidate
• Manage the company’s financial accounting, monitoring, and reporting systems as per the company policies
• Responsible for oversight of day-to-day finance and accounting operations (including posting to general ledger, accounts payable and receivable, fixed assets, payroll processing, and monthly reconciliation) to ensure timely and accurate processing of financial information following PAFEC policies
• Prepare annual budget and monthly operational budget with clear forecasting
• Prepare internal and external financial reports using QuickBooks
• Develop performance measures that support the company’s direction
• Ensure that the company complies with all the legal and regulatory requirements including statutory requirements for timely filing for tax and other obligations
• Engage and communicate effectively with the Bank, external auditors, and clients
• Maintain financial records with all the required supporting documents for audit and internal control purposes
• Review, manage and establish as needed, internal systems and controls, operations, processes, and financial proceedings to ensure the integrity of financial information and reporting
• Provide financial input for formulation and implementation of long-term strategies and business plans which enable the company to achieve its goal
• Engage and follow up on all activities per the approved monthly work plan with the relevant supervisor, keeping him/her appraised of activities and is responsible for sharing and obtaining approval of and completing the activities in the utmost appropriate, timely, and professional manner
Admin Responsibilities
• Liaise with third-party services providers i.e. printers, videographers and web developers seeking quotations for the development of PAFEC material
• Assist the CEO in organising the Board and other meetings
• Assist the PAFEC team in organising events such as conferences, meetings, seminars, workshops, road shows and media briefings etc
• Coordinate and facilitate visits to and from partner organisations
• Take over and regularly update/report PAFEC inventory
• Ensure tidiness and cleanliness of office premises
• Coordinate with the landowner for timely payment of rent, renewal of lease agreement when needed, and up keeping the office
• Maintain a list of office supplies and ensure availability/replenishment:
– Printer toners, paper, kitchen and office items: tea, milk, coffee, sugar for kitchen, cleaning supplies
– Manage servicing of equipment for trouble-free working: Air conditioners, UPS batteries, Office vehicle; oil change, tune-up, and other maintenance issues
• In the best interest of PAFEC, the position holder will undertake additional activities as and when required
HR and Legal Responsibilities
• Maintain personnel files of staff, their leave records, handing and taking process and interview forms/checklists
• Maintain SECP, PCP, FBR, and EAD-related records carefully and assist the CEO in fulfilling the legal requirement
